Academic Record Documents

ATU provides a range of official academic record documents to help you access, evidence, and share your academic achievements during and after your studies. These documents are available digitally and, in some cases, in hard copy, depending on the award type and year. 

Accessible academic records include: 

Most recent academic records are issued digitally through Parchment Digitary Services, a secure online platform that allows you to access and share verified documents with employers or other institutions. Availability depends on your campus, award type, and year of completion.  

In summary, Student Self Service, Parchment Digitary Services, and your local Examinations Office are the main routes for accessing your academic records throughout your time at ATU and beyond.

Examination Results 

Examination results are accessible digitally via your Student Self Service Account following each examination session.  For more information refer to this link: Exam results and what they mean  

Statement of Examination Results

Statement of Examination Results (Transcript or Grademailer) lists your academic record after each stage of a programme. It states your student name, student number, programme name, the mark / grade obtained in each module, the overall academic standing and the final classification awarded (if applicable). It is sometimes called a transcript or grademailer. 

The Statement of Examination Results are issued to those students whose fees are paid in full only. You can check your fee balance in your Student Self Service Account Self Service Banner Links 

Depending on the campus you attended you can access your Statement of Examination Results in different ways 

Campus Statement of Examination results 
Letterkenny and Killybegs Available from academic year 2004/05. Contact your school office or local examinations office. 
Galway City Connemara Mayo Contact your school office. For Castlebar records prior to 2002 contact Mayo examinations office. 
Sligo Digital record are available from Academic Year 2016/17 via Parchment Digitary Services (see below)  Contact the Sligo Examination office for records prior to 2016/2017. 
St Angelas Digital record are available from Academic Year 2023/2024 via Parchment Digitary Services (see below). Contact the St Angelas Examination office for records prior to 2023/24. 

Parchment Digitary Services  

Academic records can be issued digitally via a secure online document sharing platform called Parchment Digitary Services. Students and alumni can access and share their academic records with employers and other education providers, etc through this service. ATU is currently transitioning to using this service for all academic records.

There may be an administration cost to issue older academic records, the bank transfer details and fee will be communicated by the faculty office or examination office. 

Award Parchments 

When you finish and pass all the assessment requirement for an award, you will be receive an award Parchment. The arrangements are set out separately below for Major Award Parchments and non-Major Award Parchments. 

Major Award Parchments 

If you have completed a Major award, you will be invited to the next graduation ceremony (known as conferring) to receive your original parchment. Your original parchment is an important document. You should keep it safe at all times. 

Major awards include  

ATU does not issue major award parchments (paper or digital) prior to the start of ceremonies for that academic year. Conferring information is here.  

If you cannot attend your ceremony, you can request to have your original parchment sent to you by registered post. To do this, contact your local examinations office after the ceremony. An administration fee may apply for this service. 

Additionally a digital version of the parchment will be issued to Parchment Digitary Services secure document sharing platform in the month following conferring. The digital version of a major award will be issued as a duplicate parchment and will clearly state duplicate on it.  Details on how to access your documents can be found here: Parchment Digitary Services

Campus Digital Parchments for Major awards available in Parchment Digitary Services 
Letterkenny, Killybegs Galway City, Connemara, Mayo Available from 2025. 
Sligo Available from 2020.  
St Angelas Available from 2025 for ATU awards only. Students who completed a University of Galway programme should contact the NUI. 

Replacement Parchments for Major Awards  

If you wish to apply for a replacement paper copy parchment for older awards, you will be required to sign a statutory declaration witnessed by a practising solicitor or a commissioner for oaths. Contact your local Examination Office to obtain a copy of the form to be completed and to pay the administration fee by bank transfer (€65)

HETAC and QQI Parchments for legacy Institute of Technology and Regional Technical College qualifications  

ATU provide replacement parchments for awards issued by ATU or one of the legacy Institute of Technology’s(IoT) as part of delegated authority.  If your award was prior to the ATU/IoT having delegated authority then you will need to contact the issuing body.   

The date of delegated authority for each legacy institute and issuing body is below.

Non-Major Award parchments 

Parchments for non-Major awards i.e. Minor, Special Purpose, and Supplemental Awards are in digital format only and generally there is no presentation ceremony.  

Your digital parchment will be issued to the Parchment Digitary Services secure document sharing platform after the exams session when you completed the award. This is usually by the end of April, July or November. You will receive an email notification when it is issued.  

Depending on the campus you attended you can access your Parchment in different ways

Connemara Galway City Mayo Available for 2020 and 2021 (due to COVID -19) and from 2025 onwards in Parchment Digitary Services Contact the examination office for parchments prior to 2019 and  2022, 2023 and 2024.   
Sligo Available from 2020 in Parchment Digitary Services Contact the Sligo Examination office for older records 
St Angelas Available from 2022 for ATU awards only in Parchment Digitary Services

European Diploma Supplement 

The European Diploma Supplement (EDS) is issued to graduates of Higher Education Institutions in addition to their award Parchment. It provides information regarding the award which is not available on the official parchment such as the skills and competences acquired, the level of the qualification and the results achieved. The EDS DOES NOT replace the official academic record documents and is used in conjunction with these documents. On its own, it does not guarantee recognition of the qualification.

Information on Parchment Digitary Services

The digital document platform is Parchment Digitary Services (previously known as Digitary CORE). It is a cloud-based platform used by ATU and other Higher Education Institutes to securely issue verified digital documents to students. 

You will get an email from ATU when we issue a document to the platform. This first email is sent to your ATU email address, or to the email you have listed in your Self Service Banner account. 

Logging into Parchment with your ATU email address (education provider’s login) 

For first time users you will receive an email from Parchment Digitary Services informing you that you have a new document available and you will need to sign in using your education provider’s login details. The email will contain a link to bring you to the Education Provider sign in page.  Alternatively, you can use this link: Education Provider Sign in

Start typing Atlantic Technological University and select it when it appears in the list. Press Continue. 

From there you will be brought to the ATU authentication page. You must sign in with your ATU Student ID Account details (Student ID & Password).

When logging in for the first time, you will be prompted to link your account to a personal email address and provide a password. You will be asked to verify your email address, and a verification code will be sent to that email address.  Once verified on the learner portal you will be directed to your document repository where you can view your documents. Thereafter, you can access your account via your personal email address and the password you created. 

Logging into Parchment with a personal email address  

If your account is linked to a personal email address, then you can sign in with the email address that you have associated with your account.  

Use this link Parchment Sign In and just input your personal email and the password you created. Ensure to select the green Sign In button. 

If you did not link your account previously and have now received an email notification from Parchment to your personal email address, then you now need to register with Parchment. 

Select the Sign-Up button in the email you received and register your email address, alternatively use this link: Register with Parchment 

Fill out the short form ensuring you use the same email address that the Parchment notification was sent to. 

You will then be sent an email to verify your email address (be sure to check your Spam or Junk folder). This email will contain a verification code which you must enter in the portal. Once you have entered the code, you will be able to sign in using your email and the password you have set up. 

How do I reset my Parchment account password?

Enter your email, check the captcha and click Submit. 

You will receive an email with a link to enable you to reset your password. Please also check your spam/junk folder for the email. 

How do I download and print my document? 

When you view your document, click on the Download icon. This will allow you to download and save your document locally, from where you can then print your document. 

Note that although you can print your document for your own records, the printed copy is neither a verified record of your credentials, nor is it tamper-evident, and therefore cannot be accepted as an authentic document. You can however share your digitally certified documents with third parties, see below instructions. 

How do I Share Documents? 

Sign in to Parchment and on the Documents page click on the Share icon on the document you wish to share, alternatively open the individual document and select the share button. 

You will then be prompted to specify how you wish to share the document. 

To share to an email address, click the Email option and then Continue. You will then be prompted to enter

Share name  Optional  Learner chooses the personal name of their share; this is not visible to the recipient  
 
Purpose of the share  Optional  Learner chooses to add the reason for the share to help categorise the share, e.g. internship, job application, etc; again, this is not visible to the share recipient  
 
Recipient email  Mandatory  Recipient email address. Recipient will need to enter this address to view the document shared with them  
 
Personal message  Optional  Learner can choose a personal message to appear with the share 
  
Reference  Optional  Learner can add a reference number or text (e.g. of a job application); this will be seen alongside the document when it is viewed by the recipient.  
Access PIN Optional A 4-6 digit code, in addition to the email address above, will be required to access the share. The learner can choose the PIN or click to have one autogenerated. The PIN will be sent to the recipient automatically in a separate email (whether you have chosen to manually enter your PIN or have it autogenerated).  
Expiry Date Optional Set an expiry date after which, the share will no longer be accessible. If a date is not entered, the share will not expire. The expiry date is visible to the recipient in the notification email.  
Download Document Optional Allow your share recipient to download your document  

If you enter an email address which corresponds to a Registered Organisation already configured in the global Parchment Digitary network, you will be given the option to share directly with that organisation. 

Click Share to send the email to your designated share recipient. Then click Finish to close the window. 

How do I send my documents to a registered organisation? 

This share allows the student to send their document directly to any Institution on the Digitary ecosystem. 

Click Organisation from the selection and then the Continue button. 

Optionally enter Share name and Purpose of Share (see Email Share above). 

In the Recipient field, start typing the name of the organisation that you would like to share your document with; you’ll get a drop-down menu from which to choose your organisation. 

You can add a Reference and choose to include an expiry date. 

The organisation you are sharing to may have specified additional fields for you to fill out here such as date of birth, application ID, or the course code that you are applying for. 

Click Share and from here you will see notification that your share has been sent. 

The organisation to which you have sent the share will then see the share in their designated inbox on their designated portal.
